Administrative Assistant
SUMMARY
The Administrative Assistant is responsible for the provision of confidential, professional administrative support to the Owner/ Office Manager to ensure the seamless operation of administrative activities as assigned.
Roles and Responsibilities
- Manage the Managing Director’s agenda and calendar, ensuring that all events and appointments are booked with reminders
- Coordinate executive communications, including taking calls, responding to emails, drafting correspondence, and interfacing with clients
- Collate, prepare and distribute reports as required
- Keep legal and other business-related files updated, follow-up and support where necessary
- Purchase and manage the distribution of stationery and other office supplies
- Update Peachtree Accounting software on a daily basis
- Check over the end of day balance sheet and update sales spreadsheet daily
- Prepare vouchers and issue cheque/cash payments
- Develop and maintains filing systems both paper-based and electronic
- Perform all other duties as assigned
Qualifications and Education Requirements
- 5 CXC/O’Levels (including Mathematics and English)
- Minimum of 3 years’ experience in a similar position
- Working knowledge and professional certification of Peachtree Accounting
Requirements
- Available to work weekends and public holidays
- Tech-savvy, proficient in Microsoft Office suite (especially Word and Excel)
- Excellent time management and organizational skills
- Ability to work under minimal supervision
- Must be able to think critically and solve problems
- Ability to work with a diverse team
