Administrative Assistant

SUMMARY

The Administrative Assistant is responsible for the provision of confidential, professional administrative support to the Owner/ Office Manager to ensure the seamless operation of administrative activities as assigned.

Roles and Responsibilities

  • Manage the Managing Director’s agenda and calendar, ensuring that all events and appointments are booked with reminders
  • Coordinate executive communications, including taking calls, responding to emails, drafting correspondence, and interfacing with clients
  • Collate, prepare and distribute reports as required
  • Keep legal and other business-related files updated, follow-up and support where necessary
  • Purchase and manage the distribution of stationery and other office supplies
  • Update Peachtree Accounting software on a daily basis
  • Check over the end of day balance sheet and update sales spreadsheet daily
  • Prepare vouchers and issue cheque/cash payments
  • Develop and maintains filing systems both paper-based and electronic
  • Perform all other duties as assigned

Qualifications and Education Requirements

  • 5 CXC/O’Levels (including Mathematics and English)
  • Minimum of 3 years’ experience in a similar position
  • Working knowledge and professional certification of Peachtree Accounting

Requirements

  • Available to work weekends and public holidays
  • Tech-savvy, proficient in Microsoft Office suite (especially Word and Excel)
  • Excellent time management and organizational skills
  • Ability to work under minimal supervision
  • Must be able to think critically and solve problems
  • Ability to work with a diverse team
